Resident terms

Terms and conditions

The practical terms, house rules and resident responsibilities that sit alongside your Ivy Halls licence agreement.

Last updated: 29 July 2026

About these terms

These terms and conditions apply to residents and applicants at Ivy Halls. They are intended to sit alongside your signed licence agreement, booking confirmation, invoices, resident notices and any reasonable safety instructions given by the Ivy Halls team.

If there is any difference between these terms and your signed licence agreement, the signed licence agreement will take priority, unless applicable law says otherwise. Nothing in these terms is intended to remove rights that you have by law.

Booking and residence

A room is only confirmed once Ivy Halls has accepted your booking, received any required information or payments, and issued a booking confirmation. You must provide accurate information during the booking journey and tell us promptly if anything material changes.

Ivy Halls accommodation is for students. You may be asked to provide evidence of your study, identity, right to rent, guarantor details or other information reasonably required to manage your stay.

Your right to occupy your room is personal to you. You must not sublet, assign, transfer, share or advertise your room without written permission from Ivy Halls.

Licence period, arrivals and departures

Your licence period, start date and end date are the dates shown in your licence agreement or booking confirmation. You must not move in before your agreed check-in time, and you must leave the room and return keys or access devices by the agreed check-out time.

When you arrive, you may be asked to complete an inventory or room condition check. If anything is missing, damaged or not working, please report it as soon as possible and, where an inventory is provided, return it within two weeks of arrival.

Paying your fees

You must pay your accommodation fees and any other agreed charges by the dates shown in your licence agreement, booking confirmation or invoices. If you think a payment will be late, contact Ivy Halls before the due date so the team can review the position with you.

You can view invoices, payment links and outstanding balances through the student portal. Go to Student Portal, enter the email address used for your booking and sign in with your portal password. If it is your first time using the portal, use the setup/reset option to create your password from a secure email link. Once signed in, your dashboard will show your account information and any available payment actions.

Your room and shared areas

You are responsible for keeping your room clean, tidy and safe. Shared kitchens, bathrooms, corridors and other common areas must be used respectfully and left in a reasonable condition for other residents.

  • Empty room waste bins regularly and use the correct waste areas.
  • Do not leave open food out or allow surfaces to become unhygienic.
  • Do not block corridors, stairwells, entrances, fire exits or access routes.
  • Use noticeboards where provided and avoid fixing items to walls, doors or furniture in a way that causes damage.

Maintenance and repairs

Please report faults, damage, leaks or safety concerns promptly. Reporting issues early helps prevent small faults becoming larger repairs and helps us keep the building safe and comfortable.

For urgent issues, including leaks, loss of essential services, lock or access problems, electrical concerns, fire safety concerns or anything that may put people or property at risk, contact Ivy Halls immediately by phone or through the fastest available contact route.

Do not attempt unauthorised repairs or alterations. Where damage is caused by misuse, negligence, accidental damage or a breach of these terms, Ivy Halls may charge the reasonable cost of repair, replacement, cleaning or making good, where permitted by your licence agreement and applicable law.

We will aim to give at least 48 hours' notice for planned room inspections, maintenance or repairs. We may need access on shorter notice, or without notice, in an emergency or where required for safety, security, legal compliance or to prevent damage.

Internet access

Internet access at Ivy Halls is provided by ASK4. You may receive login or registration details during your stay. Internet access is provided for personal study and normal private use, and you must use it lawfully and responsibly.

You must not misuse the network, interfere with equipment, share access inappropriately, carry out illegal downloads or use the service in a way that disrupts other residents. Connection issues should be reported to ASK4 or Ivy Halls using the support details provided to residents.

Safety and security

You must follow all fire, safety and security instructions. Fire alarms, detectors, extinguishers, fire doors, signage and other safety equipment must not be covered, damaged, moved, wedged open or tampered with.

  • Smoking and vaping are not permitted inside bedrooms or communal internal areas.
  • Only use any designated outdoor smoking area where one is provided.
  • Do not use candles, incense, deep-fat fryers, portable heaters or other unsafe items unless Ivy Halls has confirmed they are permitted.
  • Report lost keys, fobs or access cards immediately.
  • Keep your room door locked and do not allow unknown people into the building.

Guests and behaviour

You are responsible for the behaviour of your guests. Guests must follow these terms, building rules and reasonable instructions from Ivy Halls staff. Ivy Halls may refuse or restrict guests where this is needed for safety, security, welfare, nuisance prevention or proper management of the building.

Residents and guests must treat other residents, staff, contractors and neighbours with respect. Harassment, discrimination, threatening behaviour, illegal activity, excessive noise, antisocial behaviour or damage to property will not be tolerated.

Parking, bicycles and personal belongings

Parking is not included unless Ivy Halls confirms otherwise in writing. Bicycles must only be stored in permitted areas and remain your responsibility. You are responsible for your own belongings, including keeping them secure and removing them at the end of your stay.

Ending your stay and breaches

At the end of your licence period, you must leave your room and any shared areas clean, clear of personal belongings and in the condition required by your licence agreement, allowing for fair wear and tear.

Serious or repeated breaches of these terms, the licence agreement or safety instructions may lead to action under your licence agreement. This may include reasonable charges, restrictions, formal notices or ending your right to occupy, where permitted by the licence agreement and applicable law.

Changes to these terms

Ivy Halls may update these terms from time to time for operational, safety, legal or resident management reasons. Where a change is important, we will take reasonable steps to bring it to residents' attention.
